Below is a list of the positions that we need volunteers for. We are looking for volunteers to help out during the afternoon for set up and decoratons and the evening of Project Grad Party (Friday June 7, 2024 - Friday, June 8, 2024) to cover the different shifts. It takes over 50 volunteers to run and supervise the evening event. Please help us make Project Graduation 2024 a huge success! 

For this 31 year old tradition to continue, we need a parent to be the Project Grad Chair for the Class of 2025. The Project Grad chair will oversee the planning and organizing of this event, lead and conduct the once a month meetings from September - June for the school year 2024-25. The project grad chair along with the other committee member volunteers will organize, plan and raise funds through yard sign sales and Project Grad ticket sales and a few other fundraising so the event can hold for the class of 2025. The once a month meetings are approximately 60 - 90 minutes long. The meetings are every first Thursday of every month, (unless there is a holiday on the date or the Thursday before Labor Day weekend). Some positions will require additional time outside of the meetings and attending the event itself. This event cannot happen without a Project Grad Chair and the planning committee. It is a great event for our seniors that we would like to see continue for future senior classes. Your gift of time, support and commitment will ensure that this important tradition will continue on. 

CLASS OF 2024 JUNE 7, 2024 EVENT:  Below are all the various areas we need help with the afternoon and evening of Friday, June 7th.  

There are two meetings left prior to the event. We welcome and encourage parents to attend. The meeting is at 7pm at the BRHS library on Thursday May 2nd and June 6th.

I would like to help BEFORE the party:

Although we have a Community Outreach Lead that have begun contacting local businesses about donations and sponsorships, if you would like to volunteer to contact local businesses for donations, donations of gift cards or sponsorships, we welcome your help. Our goal is to secure $3,000 in Sponsorships for Project Graduation 2024.
6/7/24 - 4:30pm- 6:30pm: We will be moving items from the PTSO shed located outside BRHS to the Main Gym. There will be a few bins that will go to the concession stand. We will need to set up several tables and chairs at the Main gym, move prizes from one area of the Main Gym to set up at the prize tables. We will need at least 6 volunteers for this shift.

6/7/24 - 5:30pm - 6:30pm: We will need volunteers to blow up balloons with the helium tank that will be provided by the committee. The balloons will be placed around the prize tables. We will need 2 volunteers for this shift.

6/7/24 - 7:30pm - 8:00pm: I would like to volunteer to pick up Starbucks cartons and deliver to Broad Run concession stand. We will need at least 2 parents to do this task. The coffee will already be prepaid by PG Committee. The volunteers will just need to pick up the coffee, cups, sugar, etc. BEFORE the Ashburn coffee location closes.

INFORMATION ABOUT THE DIFFERENT SHIFTS
 
Concession Stand: FIRST SHIFT - The volunteers for this shift will be setting up before the start of the event with icing down the sodas & water, help with setting out the food when it has been picked up and delivered by the Project Grad volunteers, such as food from Chick-Fil-A, food from Wegmans and also when the pizzas are delivered. Also between 6pm-8pm, parents that have volunteered to donate desserts for this event will be dropping off the desserts, such as cookies, cupcakes, candies, etc. This first shift volunteers will be from 6:00pm to 9:00pm.  

Concession Stand: SECOND SHIFT- The volunteers will help the 2nd shift Lead (Shirley Pulickan) for overseeing the food area during the event with making sure to put out more pizza, food from Wegmans, Chick Fil-A as needed, keeping the coffee area clean, filling up the coolers with more sodas, water, ice, etc. as needed. In addition, the 2nd shift will help with clean up of the concession area while the prize drawings are being held at the main gym starting at 12:30am.  The 2nd shifts volunteers are needed from 9:00pm - 12:30am and during clean up.
 
The two people responsible for volunteer check-in will be at the entry of the school by the Aux Gym to ensure that vendors and volunteer have checked in and making sure that all the volunteers have their name tag and wristband and to let them know where they need to be for their shift. 
 
Exit Door Monitors: Please arrive 10 minutes early for your shift. 
 
The night of the event, the volunteers are required to wear a name tag and wrist band that they will be provided when they check in at the volunteer table. All the seniors in attendance are required to wear a lanyard provided to them at check in. This is how we know who does and doesn't belong at this event.

VARIOUS SHIFTS: I would like to volunteer for the following area. Please arrive at least 10 minutes prior to your shift. There are three inflatables that have been chosen by the Project Grad Committee.
To make sure the graduates are safe, we will need 1 volunteer for each inflatable.

EXIT DOOR MONITORS: You will be provided a chair during your shift at your assigned exit door at the main gym. We will need several exit volunteers for the outside area of this event. The Volunteer Coordinators during the check in, will assign you the exit to monitor when you arrive to check in at the volunteer table. We need to make sure that no one enters and leaves from these exit main gym doors and the exit areas outside. To keep everyone safe, the students and volunteers can only enter and leave from the main door entrance of the Aux Gym.

Volunteers are encouraged to help with clean up at the concession area outside during the prize drawings.
